What is an Exhibitor Workshop?

Exhibitor workshops provide an opportunity for exhibiting companies to promote and/or sell a product and/or service. Such workshops are available only to those organizations that exhibit in a particular conference. Workshops are typically 90 minutes in length at the national conference and 60 minutes at the area conferences and STEM Forum & Expo

Invite your current and potential customers to learn more about your best products and unique expertise through NSTA’s Exhibitor Workshops. Popular with attendees, workshops draw strong attendance year after year. These face-to-face sessions—held in an intimate classroom style or large theater style room—are an increasingly popular way for exhibitors to make a big impression.

    How to Conduct an Exhibitor Workshop

    All organizations submitting proposals to sponsor a workshop at either NSTA's national, an area conference, or the STEM Forum & Expo MUST rent booth space on the exhibit floor.

    Preparing and Submitting an Exhibitor Workshop Proposal

    • Go to the Online Proposal Submission page for:
    • Log in with your last name and NSTA ID# or create a new NSTA online account.
    • You must have cookies and Javascript turned on in your browser. Please check out these links for information on enabling JavaScript and cookies.
    • Click on the conference (Please note that you will have the option to submit your proposal for multiple conferences).
    • Fill out the form completely. If you do not provide certain requested information, you will see a note near the "Save" button referring to any missing field.
    • Once your proposal is complete, please click "Save and Add/Remove Presenters" button, even if you are the only presenter for this proposal.
    • To add your presenters, please search with their first or last name. Once you find the correct person, please select "presenter." If you are the presenter for this workshop, then you will need to add your name as a presenter as well.

    • Once you have added all of your presenters, click the "Done" button.
    • Now click the "Submit" button at the bottom.
    • You may print this submitted proposal for your records and/or submit another proposal.
    • Shortly after submitting your proposal, you'll receive an e-mail with "Exhibitor Workshop Submission Confirmation" in the subject line.

    What You Get With an Exhibitor Workshop
    • A room available for up to 90 minutes (national conference); 60 minutes (area conferences and STEM Forum & Expo)
    • Your choice of theater (with a podium) or classroom-style seating (consists of 6' tables/chairs and a speaker's table)
    • A sign featuring your company’s name and workshop title outside the workshop room
    • A chronological listing in the final program that includes workshop title, company name and room number (if workshop submission is received before publishing deadline)
    • Complete workshop listing on the Conference App that includes workshop title, description, presenters, grade level, discipline, and room number
    • Listing on Online Conference Schedule

    Audiovisual

    All meeting rooms are provided with a complimentary projection screen and a power cart in front of the room (projector not included). Any other audiovisual needs must be made by the workshop sponsor independently of NSTA. Order forms for audiovisual equipment will be included in the workshop scheduling confirmation and the exhibitor service kit.

    The basic fees for Exhibitor Workshops are as follows:

    68th Annual Conference on Science Education

    Boston, Massachusetts: April 2–5, 2020

    • One workshop: $875
    • More than one: $825/each workshop
    • $1,000/each workshop for room size to accommodate 120+ participants
    • Dedicated Room—Thursday, Friday, or Saturday: $4,950 per day

    2020 NSTA STEM Forum & Expo

    Louisville, Kentucky: July 22–24, 2020

    • One workshop: $595

    2020 NSTA Area Conferences on Science Education

    Pittsburgh, Pennsylvania: October 29–31, 2020
    New Orleans, Louisiana: November 19–21, 2020
    Phoenix, Arizona: December 10–12, 2020

    • One workshop: $775
    • More than one: $695/each workshop at an area conference
    • $1,000/each workshop for room size to accommodate 120+ participants
    • Dedicated Room—Thursday, Friday: $4,865 per day; Saturday: $2,780

    Proposals received after the above dates are not guaranteed a listing in the printed program and are scheduled on a first-come, first-served basis.

    Confirmation

    Approximately eight weeks prior to the respective conference, a written confirmation of the workshop location and time will be e-mailed. Upon receipt, each exhibiting company must sign the confirmation and return to the exhibits office for listing in the final program.

    Cancellation

    68th National Conference on Science Education

    • Preliminary cancellation deadline is November 15, 2019.
    • Notice of cancellation must be in writing and dated on or before November 15.
    • For workshops received after November 15, 2019, the workshop companies have 5 business days to cancel the workshop without penalty.
    • For cancellations dated after November 15, a fee of $500 per workshop will be assessed.
    • For cancellations dated after December 15, 2019, the workshop sponsor will be responsible for the full cost of the workshop.

    2020 STEM Forum & Expo

    • Preliminary cancellation deadline is April 30, 2020.
    • Notice of cancellation must be in writing and dated on or before April 30.
    • For workshops received after April 30, 2020, the workshop companies have 5 business days to cancel the workshop without penalty.
    • For cancellations dated after April 30, a fee of $200 per workshop will be assessed.
    • For cancellations dated after May 29, 2020, the workshop sponsor will be responsible for the full cost of the workshop.

    2020 Area Conferences on Science Education

    • Preliminary cancellation deadline is August 14, 2020.
    • Notice of cancellation must be in writing and postmarked on or before August 14.
    • For workshops received after August 14, 2020, the workshop companies have 5 business days to cancel the workshop without penalty.
    • For cancellations dated after August 14, a fee of $500 per workshop will be assessed.
    • For cancellations dated after September 15, 2020, the workshop sponsor will be responsible for the full cost of the workshop.
